Reminders on Proper Use of WVU Fleet Vehicles | Electronic News

As West Virginia University prepares to kick off the fall semester, the Transportation and parking the team provides faculty and staff with some tips and reminders related to the appropriate use of WVU Fleet Vehicles.

Prior to the start of the semester, faculty and staff should ensure that the vehicle in their fleet state inspection sticker is up to date and the vehicle has a registration sticker on his license plate. Faculty and staff should also ensure that their fleet vehicle contains the following items in the vehicle’s glove compartment:

Anyone who uses a fleet vehicle at the University is required by the State of West Virginia to complete a daily log for their assigned vehicle. It is the responsibility of the service to keep the original copies of the waybills for each vehicle. Note: Roadmaps may be requested during status audits.

  • Those using a fleet vehicle must respond promptly to requests for monthly mileage updates. The WVU Fleet Management Team requires a few days to process the mileage report and the state requires WVU to submit the report by the fifth day of each month.

  • Faculty and staff requiring a WEX PIN should contact the WVU Fleet Management Team at Faculty and staff should be sure to include their Employee ID telephone number and an active e-mail address as well as their signature at the bottom of the agreement form. A signed agreement form must accompany any WEX PIN request.

Faculty and staff must also acknowledge that they have reviewed and understood the governor’s policy when signing the agreement form. The department should keep the original copies of the agreement forms in its employee files.

  • Those requesting fuel cards for containers, equipment or vehicles weighing more than 10,000 pounds must complete a Fuel card application form and return it to the WVU Fleet Management Team at

  • For fleet vehicle condition inspections or service needs, faculty and staff should contact the WVU Fleet Management Team Monday through Friday, 6 a.m. to 4:45 p.m. at 304- 293-5627 to make an appointment.
